1. Who we are

This Privacy Policy explains how BrokerDesk AI (“BrokerDesk AI”, “we”, “us”) collects, uses, shares and protects your personal data when you visit brokerdesk-ai.com or use our demos, forms and services.

BrokerDesk AI is operated as a sole proprietorship based in Dubai, UAE. We act as the “Controller” of your personal data.

We process personal data in line with UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the “PDPL”) and its implementing regulations.

2. What data we collect

• Name (when you submit a form);
• Phone number / WhatsApp;
• Email address (when provided);
• Company name and brokerage size (when provided);
• The product or service you are interested in, and how you reached us (source);
• For voice and chat demos: the content of your conversation with the AI — including a temporary audio stream and its text transcript — processed in real time to generate responses;
• Technical data: IP address, cookie identifiers, browser and device information;
• Usage and analytics data about how you interact with the site (only where you have consented).

3. How we use your data

• To respond to your enquiry and contact you about it;
• To run the interactive demos you choose to try (voice, chat, WhatsApp);
• To schedule and hold a diagnostic call or demonstration;
• To provide, agree and deliver our services;
• To improve our website and services and measure site performance (with consent);
• To send you service and information messages through the channels you provided;
• To keep records and comply with legal obligations.

4. Legal bases

We rely on the following legal bases under the PDPL:

• Consent — for example, when you tick the opt-in box on a form, try a demo, or allow analytics cookies. You can withdraw consent at any time.
• Performance of a contract — to provide services you have requested or agreed.
• Legitimate interests — to operate, secure and improve our website and services, where this does not override your rights.

5. AI demos, recording and disclosure

Our demos use an AI assistant. At the start of a voice or chat demo we make clear that you are interacting with an AI and that a voice call may be processed (and may be recorded for quality and to operate the assistant). The demo property data is fictional sample data shown for demonstration only.

The AI provides general information, not financial, legal or investment advice. It does not assess affordability or promise returns. For such matters, please consult a licensed professional.

6. Sharing and service providers

We do not sell your personal data. We share it only with trusted service providers (processors) acting on our instructions and under confidentiality, to deliver the functions of this site:

• OpenAI — powers the AI voice and chat demos (real-time speech and text);
• Resend — delivers lead/enquiry notification emails to us;
• HubSpot — our CRM, where enquiries are stored and managed;
• Telegram — instant internal notification of a new enquiry;
• Cal.com — scheduling of diagnostic/demo calls;
• Google Analytics 4 — website analytics (loaded only after you consent);
• Vercel — website hosting and delivery.

7. International transfers

Some of our service providers process data outside the UAE. Where personal data is transferred abroad, we rely on appropriate safeguards permitted under the PDPL (such as adequacy, contractual protections, or your consent) to keep your data protected.

8. Retention

We keep personal data only as long as necessary for the purposes above, then delete or anonymise it. Enquiry and contact data is kept for as long as needed to follow up and manage our relationship, and until you withdraw consent or ask us to delete it. Demo voice sessions are processed in real time and are not retained by us beyond what is needed to operate the demo.

9. Security

We apply appropriate technical and organisational measures to protect personal data against unauthorised or accidental access, loss, alteration or disclosure — including encryption in transit (TLS), access controls and keeping our software up to date.

10. Your rights

Under the PDPL, you have the right to:

• access the personal data we hold about you;
• request correction of inaccurate or incomplete data;
• request deletion of your data;
• restrict or object to certain processing;
• request portability of data you provided;
• withdraw consent at any time;
• lodge a complaint with the UAE Data Office.
